Current Situation:
- 28 employees – 14 Melbourne, 9 Sydney, 5 Brisbane
Medium-sized Engineering Company that has various old phones at their sites and a combination of PSTN and ISDN phone lines.
They had a data network (VPN) with unlimited usage between the sites already as they transmit a lot of plans etc between the sites. Melbourne is the head office.
They had a receptionist in Melbourne and Sydney but none in Brisbane where the engineers themselves were answering the phone.
They were out on site a lot and transferred a lot of calls from the office which was becoming very expensive. So were the STD calls between the interstate locations and Head Office.
5 of their senior staff were often travelling between states and needed to be in seamless contact whether they were in a hotel room or on site.
They had a 13 company mobile phones that were on an Optus Fleet Plan so they got free calls between each other. |

The Solution:

- VoIP for FREE Calls between the states
The Avaya IP Office 500 is the number 1 VoIP solution in the world and linking the sites across their existing VPN was relatively straightforward. All interoffice calls now go across their data network and is FREE. This alone saves them $300+ per month!
- Can make calls from a landline to the Mobile fleet for FREE
We installed 2 x GSM routers, or FTM (fixed to mobile terminals). This equipment allowed staff to make calls from their office to their mobiles FREE. This saved them over $670 in the first month.
- Stop calls being answered by Engineers in Brisbane
With the Avaya VoIP Networking in place the company only needed the one receptionist in Melbourne. This person was able to answer calls for each of the 3 states on her console and transfer them to the appropriate person, whether they were in the office or on their mobiles, for FREE.
This saved $32,000 by not needing the Sydney receptionist and it saves even more with the Engineers in Brisbane not being unnecessarily distracted answering phones.
- Hot desking for the Senior Engineers that travelled to the other sites
The Avaya IP Office 500 offers Hot Desking,which allows staff when they are interstate to log into a spare phone and it becomes their extension. For example, in Melbourne, Bruno the MD was extension 101. When he travels interstate and enters his personal code, the phone handset becomes 101 (the same as Melbourne) and is now able to have calls transferred and retrieve his voicemail just like he was in his own office.
- Ability to connect from a hotel room
All senior engineers were given Avaya IP softphone licences, this virtual phone system software was installed on their laptops. When they connect to the internet they are now also able to connect to the phone system. This means they can make calls from their computer at no charge (except data usage) and not have to use the hotel phones. It also means that staff in any location can see if they are available to speak to. “It’s just like they’re in the office” said the receptionist.
- Standardise the phone systems in each state
When they travel they all know how to use the phone system because it is the same in each location.
- Allowed them to conference call with multiple staff in the boardrooms.

The Avaya IP Office 500 Voicemail Pro now allows staff to easily change their options with the click of a mouse. They can choose various voicemail messages to play, divert their phones to their mobiles, or even divert to other staff in the office.
The Avaya IP Office 500 can expand over 250 extensions so there is no issue there.
