Small Office in Brisbane Office and 2 home workers

Current Situation:

  •  9 employees  

A small Metal Fabricating company that that had an old Panasonic 408 Phone system that was at capacity with four PSTN phone lines connected.       

They had senior staff (owners) that had decided to work from home two days a week (on alternative days).  Communication to them was inefficient and expensive.  They were being contacted on mobiles and staff couldn’t transfer calls from clients. 

The receptionist was taking handwritten messages for staff and when they were busy, had to handle up to 3 calls at a time.

They were very cost conscious and as their business had grown so had their phone call costs. 

They also had a warehouse and drivers had to come to the front , or walk through the warehouse which was less than ideal for security reasons. 

They had 3 staff that worked out in the warehouse and they only had two phones between so they were having to share one because the system was at capacity. 

The Brief:

To have a system that can: 

  • Use VoIP for better communication for home workers
  • Cut call costs
  • Provides intercom for driver at warehouse dock
  • Cordless Phones for warehouse    
  • Backup greetings to help receptionist when busy
  • Voicemail for efficient message taking
  • Allows for future expansion  

The Solution:

Phone System – Alcatel Omni PCX with VoIP  

“The Alcatel Omni PCX has actually saved more than it cost…..the receptionist loves the new system so do the boys in the warehouse and I am finding working from home so easy,” said the owner. 

  • VoIP solution to give better communication for the home workers

We installed Alcatel VoIP 4018 handsets and QOS (quality of service) routers in each of the locations.  This allows the remote workers to connect to the phone system- over 50km away in one case. 

They can now receive calls, make calls, transfer calls even retrieve their voicemail just like in the office.  They can even see if other staff are on the phone before they dial them - all from the comfort of their homes. 

All communication between the remote workers and the office is FREE.

Not only did they eliminate 20+% of their calls by not having to call the remote workers on mobiles, we also put them on fantastic call rates, with NO contracts. This saved them 43% on their first month’s phone bill.  “We were blown away with the savings and how simple it was to change over,” said the administration manager.  

  • Intercom for driver at warehouse dock  

We installed an Alcatel digital door station that now allows drivers to intercom to the warehouse manager.  He can then hit a button on his phone and open the door from his desk to let them in. 

We equipped the Alcatel Omni PCXwith analogue extensions and they connected three cordless phones, one for each of the warehouse staff.  Their cordless phones have the same extension as their desk phones so when their desk phone rings so does their cordless phone.  This way they are easily contacted by the staff in the front office no matter where they are.

  • Backup greetings to help receptionist when busy

We programmed the Alcatel so that now after six rings the system answers the call and says “Thank you for calling ABC Metal Fabricators, your call is important and we will be with you in a moment”.  This ensures they never miss calls, and it sounds incredibly professional.   “It makes my life so much easier and the owners have commented how professional it sounds when they ring in,” said the receptionist.    

  • Voicemail for efficient message taking

Every staff member now has voicemail and they swear by it.  No more wrong numbers, no more tying up the receptionist’s time.  Customers are now leaving detailed messages, even orders after hours, and it is infinitely more productive.

  • Future Expansion  

The Alcatel Omni PCX can expand to 100+ users so the owners won’t have the same problem they did when they outgrew their old Panasonic.
