Dedicated Office Phone Number(s)

Each Hosted CloudPBX solution comes with a local phone number for your office included at no additional charge.

It’s completely up to you how you want incoming calls to your office to work: Do you want all users handsets to ring or just the reception and admin team to answer incoming calls? Or do you want calls to your office number to rotate and overflow through different groups or teams? It’s completely up to you, and our support team will pre-program everything for you!

Voicemail

A must have feature that works like your mobile phone, so you can hear what callers want in their own voice and tone. Your phone will display a red message wait light to let you know you have a message waiting when you return to your desk. Voicemail To Email

For many staff that are often out and about, and not always at their desks, voicemail-to-email is an amazing included feature.

Follow Me

This takes the idea of mobility one step further and allows you to forward your extension to any other number you like. Most customers will transfer their internal calls to their mobiles when they are out and about, but some like to transfer to other staff members desks that may be in a position to assist the prospective callers. It’s a simple feature to program and turn off and on at will.

Call Park, Hold & Pick-up

The most commonly used buttons on your new handset will be the ‘hold + park’ buttons – and with good reason. It’s essential for smooth, professional handling of calls.

The handsets can also be programmed for group pickups. This is where a person can walk to any phone and pick up a ringing caller by simply hitting one button. You don’t need to see which line they’re calling in from as it automatically picks up the ringing call. This can be tailored to different departments or for the company as a whole.

Parking a call is like an advanced version of putting a call on hold as it allows you to place a call on Park 1 and announce that to your internal recipient. Some companies prefer to not transfer the internal calls directly and use this method.

Call Transfer (Internal & External)

In order to manage incoming call traffic effectively, especially for a receptionist, you need to be able to transfer calls quickly and efficiently. This is one of the key reasons people upgrade to a proper phone system because they get tired of throwing the cordless back and forth.

Speed Dialing

The system can store your common speed dials and you can easily access your contact list. This is great for staff that are calling the same customers/ suppliers all the time.

Day and night greeting functionality come standard with your Hosted CLoudPBX, and are a great way to present a professional image to your calls.

You can choose to voice your own messages or we can even have them professionally recorded, scripted and produced for you (as a small fee).

This way your calls are always answered and it creates an infinitely more professional impression for your customers.

As well as backup messages during the day the system can be manually/ or automatically switch to your night messages at preprogrammed times of day. If you have different operating hours during the week we can customise this to your exact needs at no cost.

Full Auto Attendant (Press 1.. 2..)

For some small offices wanting to present a BIG image then an auto attendant can be ideal. It answers the calls and gives options for different extensions with your company. You may only have 3 staff but you sound like you’ve got 100.

For larger companies an Auto Attendant is a great way to get callers to the correct people and team in the most expeditious manner.

Conferencing

This means you can, with the touch of the conference button, engage with external and/or internal parties on a simple conference call. It’s easy and an incredibly effective way of getting all the right people on a call together from the comfort of your own desk.

This allows for you to see any caller’s number when they ring in (providing their number is publically displayed). If the number is in your speed dial list it will actually bring the person/ company name up on screen also.

Call Flow (Hunt Groups)

You can easily tailor how your inbound callers are directed and dealt with. You might have different phone numbers that you would like to ring at specific staff locations. Or maybe just ring reception first and if unanswered then overflow to other predetermined staff members.

This is unique to your specific business requirements and we will tailor this all important call flow and handling for your exact requirements.

Music On Hold

When callers are placed on hold they can hear professional messages or music that you choose. It is simply uploaded to the host as a .WAV file and will play automatically whenever your staff put a caller on hold.

Remember we can also upload professional .WAV files for all your day/night and announcement messages should you request that also.

Paging

Paging is a great way to be able to ring either specific departments or the entire company by broadcasting a message through the handset speaker.

Extension Dialing

You can easily dial any extension (staff member) in or out of the office at no charge that is connected to the host and part of your solution. This includes staff that have the SIP application loaded on their mobile phones. If you call and they answer on their mobile SIP number it is also free — a great way to reduce costs.

Call Waiting

If another caller is calling you will be able to place the caller on hold and take the second call. If you choose not to answer it will simply go to voicemail. You can then retrieve your voicemail as an email or on your phone for free anyway — wherever you are.
