Which type of Home Office Phone System is right for you?

Perhaps the most common things we hear from customers would be, “the other company was pushing me to buy me some complex, ridiculously priced system” .

They simply fail to hear what their potential customers are telling them. They’re more interested in selling the system they make the most margins on, not necessarily the right solution for your needs or budget.

In all there are four different types of home office phone system solutions available to you in the market:

  • Hybrid IP Pbx systems – system that offers both traditional digital handsets, phone lines as well as the latest IP technology. Hence we call them “hybrids”.  Check out popular systems like the Avaya IP500Ericsson-LG SBG-1000 iPECSAlcatel Omni PCXSamsung 7030NEC SL1100 etc
  • IP Pbx – designed for all IP handsets and IP connectivity.  Most of the systems above fall into this category also as they can operate as pure IP solutions.
  • Hosted Phone System - a IP solution that doesn’t require an actual phone system.
  • Used Phone System – a preloved solution

Unfortunately there’s no easy rule that says a company with 2-5 handsets needs system type A. This is why we offer a range of the latest phone systems to suit every need. In many cases a new phone system may in fact be overkill.  Many of our customers that only wanted the basics (a few more phone lines and to transfer calls, put people on hold etc) were actually much happier with a used phone system solution.

Is a home office phone system different from a big one?

In terms of normal functionality there is little difference these days from a 2 handset system and a 200 handset solution. The difference is in very specific applications, like call centres, for larger enterprises. In fact, many systems are exactly the same and scale from 2-400+ users. This is great news for you because it means that your small business can now affordably access big business features to help you communicate better, sound more professional, improve productivity and even improve your bottom line with cost savings.

What phone lines should I get for my home office?

Everyone is talking about VoIP (SIP in particular) and customers automatically assume they will save money. In spite of what’s advertised the reality can be different. This is why we take the time to analyse your phone bills so you’ll know if/ how much you will save by moving to VoIP before you make any commitment at all. Saving money with VoIP really depends on how many phone lines you have and the number and type of phone calls you typically make. Yes you can get cheap VoIP services that offer decent phone rates but the problem is they offer very average call quality. The best type of VoIP, called SIP trunking, gives you access to genuine business grade call quality. The downside is it costs slightly more to implement but it can also save you more because the call rates are even better than basic VoIP services.

For many customers, plain ordinary PSTN or ISDN are often an equally, even more, attractive solution so please keep this in mind and do your own research. We love VoIP but only in when it makes economic sense for a customer.

How many phone lines should my home office have?

It really comes down to how many staff and how many calls you make. Remember that for every simultaneous phone call in the office you need a separate phone line. Unlike the Telstra call waiting service you may currently have, a home office phone system needs individual lines. Let’s say you have 3 staff and you want each to be on calls at the same time, then you will need to have 3 separate phone lines. If a 4th caller rings in they will get an engaged signal because you only have 3 phone lines (no call waiting on phone systems).

If VoIP savings numbers stack up for you, one of the key benefits is you can get more phone lines without having to pay more. This is why it really makes sense for some small businesses that actually use the phone a lot

Are there special requirements for home office phone system?

Yes. Both digital phone systems and IP solutions need cables run to each desk location that will have a phone. If you’ve only been using cordless phones up to this point then you may not have this in place. This cabling work is charged separately by any phone company and really depends on your office layout and complexity of the cabling required as to the cost.

Should I have IP or digital handsets on the phone system?

If you don’t have existing cabling in your home office but do have an internet connection at your desk then a IP or VoIP handset may work out cheaper. They can piggy back of that connection and you won’t require additional cabling.

Unfortunately there are no longer any phone systems that are completely wireless – they were great and we have no idea why they stopped making them. You can get cordless phones for a solution but unless they were designed for the phone system they will offer less functionality and basic things like transferring etc can be difficult or impossible. Normal phone system digital handsets run off existing cabling and are not dependant on the internet. They offer 95% of the functionality but are also cheaper – which is attractive to many buyers looking for a home office phone system.

If you have remote users (working from another location or home) then VoIP (IP handsets) are the way to go but remember this - you don’t need to run IP handsets if you simply want to save money with cheap VoIP calls.

What if your business grows in the future?

Don’t worry. Most home office phone systems these days are designed to expand up to 24 + users and some will expand to 100’s. The good news is phone systems are easy to relocate so if your business booms and you need to move to larger office premises then you can easily take the system with you and add extra handsets for the new staff.
